Data Retention Policy
This policy explains what EarlyEd Reserve keeps, how long we keep it, and why. Retention periods are designed around legal obligations, safety, and dispute resolution — not around keeping data for its own sake.
Draft for legal review before commercial launch.

1. Account and profile records
Account records, educator profiles, and center organization records are retained while the account is active. If you close your account, profile content is removed from public view promptly and underlying records are retained for up to 24 months to resolve disputes, enforce agreements, and meet legal obligations, then deleted or de-identified.
2. Private details and credentials
Legal identity details and credential records are retained while the account is active and for up to 24 months after closure. Uploaded documents are stored in private storage and are deleted when the associated record is deleted. Educators may delete individual credential submissions at any time before or after review.
3. Assignment, review, and message records
Assignment histories, two-way reviews, and platform messages are retained for the life of the marketplace relationship and up to 5 years afterward, because they document work history, attestation events, and dispute outcomes that both parties may need.
4. Safety reports and eligibility records
Safety reports, eligibility status history, attestation records, and restriction or appeal records are retained for up to 7 years. These records exist to protect children, educators, and centers, and to provide an auditable trail when a decision is questioned.
5. Consent records
Records of legal acceptances (Terms of Service, Privacy Policy, agreements, disclosures, and — where legally appropriate — IP address and browser information) are retained for as long as the underlying obligation may be enforced, and at minimum 7 years.
6. Contact and support messages
Messages sent through the contact form are retained for up to 24 months so we can respond, follow up, and improve support.
7. Deletion requests
You may request deletion of your personal information through the contact page. We will delete or de-identify information we are not required to retain, and we will explain anything we must keep and why. Some records — such as signed attestations, safety reports, and consent logs — cannot be deleted early because they document legal events.
8. Backups
Deleted records may persist in encrypted backups for a limited additional period before being overwritten in the normal backup cycle.
